Volunteer Sign Ups
To sign up for volunteer shift, follow these directions:
- Go to Swim meets --LOG ON to your account.
- Click on the Swim Meet that you want to volunteer for and click on the green "Volunteer Sign up" button. Pick the person that will be signing up for jobs.
- Click on the job that you want to reserve. Make sure you pick the correct shift! There is 1st and 2nd Shift for each job. If you float your cursor over the "i" next to the position, a short description will pop up. The volunteer descriptions are also located below.
- Click "Save Assignments" to reserve the slot. Make sure you complete this step or reservation WILL NOT be saved.
Volunteer Descriptions
Meet Setup & Logistics
Set-up
Meet Set-up volunteers arrive at 4:00 for home meets to help set up the pool area for the meet. This includes moving tables and chairs, helping with starting blocks, setting up the tents for swimmers, setting up the bullpen areas, etc. This position is only required for home meets.
Take Down:
Take Down volunteers help put the pool back to its pre-meet condition, including putting up tables, chairs, collecting all parking signs from the street, removing all trash from the bins and moving it to the large cans beside the club house. This position is only required for home meets.
Volunteer Coordinator:
The Volunteer Coordinator ensures all volunteer positions are filled each meet and checks in the volunteers based on their assigned shifts each meet.
Concessions Coordinator:
The Concessions Coordinator orders and purchases the food that will be sold at the concession stands during home meets. The coordinator also helps set up the concession stand prior to the start of the meet, along with the Concessions Volunteers.
Concessions Volunteers:
Concessions Volunteers word at the concessions stand during the meet, serving food and collecting payment.
Meet Scoring
Scoring - Computer Manager:
The Scoring Computer Manager is responsible for entering all times, scoring events, managing deck entries, printing the results and score sheets, and printing award labels during the meet. Prior to the meet, this position takes the entries from each team and seeds the meet, creating the heat and lane assignments for each swimmer. The Scoring Computer Manager also creates the timer sheets and relay cards. This position requires that the volunteer attend a training position prior to the start of the season to be well-versed in the software used by GCSL. After the meet is complete, the Scoring Computer Manager submits the results to the GCSL.
Scoring - Computer Assistant:
The Scoring Computer Assistant reads off the times from the timer sheets to the Computer Manager to speed up the scoring process.This position is only required for home meets.
Scoring - Assistant:
The Scoring Assistant collects the timer sheets from the runner and provides them to the Computer team. The Scoring Assistant posts results after the scores have been verified and investigates scoring questions that may come up during the meet if the information written on the score card needs to be clarified. This position is only required for home meets.
Runner:
The runner collects the timing sheets after each event, checking to make sure they have a timer sheet from each lane by organizing them in lane order, and then brings them to the bag hanging off the clubhouse balcony so the scoring team can raise the bag and give it to the scoring table. This position is only needed for home meets.
Ribbons:
Ribbons volunteers label all of the awards ribbons each meet, including place ribbons, participant ribbons for swimmers ten and under, and personal best ribbons. The ribbons volunteers then place the ribbons awarded to each swimmer in a designated file folder for the swimmers to pick the day after the meet.
Timers:
Timers are assigned to a single lane and time each swimmer who competes in their lane, verifies their name as they exit the pool, and then records their time on the timer sheet. At the end of the meet, the second half timers return their stop watches and clip boards to the meet co-ordinator.
Meet Operations
Bullpen:
The bullpen is a designated where all swimmers who are swimming in an meet sit between their events. First half bullpen volunteers check in swimmers as they arrive and use a provided heat sheet to mark the events for each swimmer on their upper arm on the right side with the heat and lane they are assigned. During the meet, bullpen volunteers follow the progress of the meet and line them up for their event. The staging volunteer will then come to the bullpen to collect the swimmers bring them to the staging area in time prior to their events. Bullpen volunteers also monitor the behavior of the swimmers.
*In addition to these responsibilities, second half bullpen volunteers help make sure swimmers collect all of their personal items and trash prior to leaving the meet.
Staging:
Stagers pick up the lined up swimmers from the bullpen and brings them to the staging area. They make sure the swimmers are sitting in the correct spot based on their event, heat and lane assignments. They also work with bullpen volunteers for missing swimmers.
Relay Coordinator:
The Relay Coordinator is responsible for handing out relay team assignments, lining up the swimmers in the right order, and making sure the 10 and under swimmers line up at the right side of the pool prior to their relays.
Starter:
The Starter controls the the start of each event, announcing each event, calling the swimmers to their starting blocks, and starting the event according to GCSL rules. This position requires that the volunteer be certified and maintain a certification from GCSL as a Starter as well as maintaining a Stroke & Turn Judge certification.
Stroke & Turn Judges:
Stroke & Turn Judges watch each swimmer as they swim their event to ensure the swimmers are performing their starts, stroke, turns, and finish as required for each stroke. They determine if a swimmer should be disqualified based on the swimmers performance of the stroke and notes all disqualifications (and the reason for the disqualification) on the corresponding timer sheet. This position requires that the volunteer be certified and maintain a certification from GCSL as a Stroke & Turn Judge.
Heat Winner Coordinator:
This position provides a bead necklace to the heat winners of each event.
